What's new at SharpFleet

Scheduled vehicle inspections

• Company administrators can enable a separate vehicle checklist in Fleet safety settings, with fortnightly, monthly or quarterly inspections.
• Drivers see a due inspection when starting an online trip. The completed check records each question, Yes or No answer and any notes, together with the vehicle, driver and completion time.
• One completed inspection covers the vehicle for its reporting period, regardless of which driver uses it next.
• Scheduled checks are optional and off by default. Existing pre-trip checks and offline trip capture remain unchanged.

Inspection reports with the full questions and answers

• The Vehicle Inspection Report shows the exact questions asked, responses given and notes recorded at completion.
• Download a branded PDF or CSV for the selected date range. Reports covering multiple vehicles keep each inspection and its answers grouped with the correct vehicle.
• Dates and times follow your company’s regional settings and timezone. PDF filenames use readable month names instead of ambiguous numeric dates.

Archived vehicles keep their reporting history

• Archiving a vehicle no longer removes its past activity from Drive Time, Utilization, Tax, Vehicle Log, Usage and operational reporting.
• Historical trips and their recorded costs remain available for the selected period, including report exports, so replacement vehicles do not hide earlier activity.
• Archived vehicles are clearly labelled in historical report filters and cannot be selected for new trips or bookings.
• Invalid report dates now show useful validation feedback, and dashboard empty-state messages no longer appear alongside visible widgets.

Microsoft calendars and sign-in are generally available

• Microsoft 365 calendar integration and Microsoft single sign-on are no longer beta features.
• Company administrators can set up these integrations from SharpFleet Settings without waiting for support to enable the feature first.
• Connect driver and optional shared company calendars, or configure Microsoft sign-in using your company-managed Microsoft Entra application.
• Microsoft sign-in is for existing SharpFleet users. Email-and-password access remains available, and Microsoft permissions and administrator consent still apply.

Clearer settings, access and job reporting

• Find company, Fleet, Jobs, people, reminders and integrations in one Settings directory, with clearer role and individual user-access controls.
• Jobs-only companies keep focused Jobs navigation; Fleet options remain tied to the company’s products and user permissions.
• Job-cost summaries and detail lines now agree when billing discounts are applied.
• Clearer job-duplication feedback and primary customer contacts make everyday administration easier.
• Expanded Smart Report handling for vehicle and tax questions, where Smart Reports are available.

More reliable mobile sign-in, trips and updates

• The Fleet PWA shows the app lock during startup when it is enabled, and recovers an expired trip-start session token without requiring a second tap.
• Scheduled inspection notices fit the online trip-start flow without blocking the existing offline fallback.
• Microsoft sign-in keeps the correct desktop or PWA context, with clearer entry screens and no automatic submission from an old sign-in link.
• Updated Fleet and Jobs app versions refresh cached assets while preserving queued offline work and supported offline pages. There is no need to clear app storage or reinstall.

A simpler Settings workspace

• Company, Fleet, Jobs, people, reminders and integrations now live in one clear Settings directory
• Updated sidebar navigation, compact editors and clickable vehicle and branch rows make administration faster
• Microsoft 365, Microsoft single sign-on, Xero and QuickBooks are grouped under Integrations
• A short desktop introduction points existing users to the new navigation and Settings location

More flexible bookings, with a clear history

• Adjust booking times from Edit Booking or drag the end time in Day view. Moving the start time keeps the original booking duration.
• Extend or shorten a booking already under way, with a reason and a record of who changed it and when.
• Resolve a clash by moving the next booking later or keeping its original time with an available vehicle. Companies can also choose to allow visible reservation overlaps.
• Notify affected drivers when their booking changes.
• When enabled in Booking settings, create several vehicle and driver bookings together and keep additional vehicles linked to the same job.

A clearer start, a more reliable finish

• See your next booking on the Fleet PWA home screen and start the booked trip when it becomes available.
• See when a vehicle is booked by another driver. Optional return-by warnings identify the next booking without repeatedly interrupting the trip screen.
• Release unused booking time when returning early, while keeping the booking and return details in the calendar history.
• Recover and finish trips started offline after reconnecting, with protection against duplicate uploads.
• Choose Business or Private explicitly, with clearer trip forms, odometer values and saving indicators.
• Companies can opt into online vehicle changes during a trip, with linked records for the original and replacement vehicles. This setting is off by default.

Clearer reminders, sign-in and job completion

• Keep upcoming and overdue vehicle reminders above delivery and scheduler diagnostics.
• Improved WOF, insurance and RUC reminder handling, with optional Outlook reminder calendars where enabled.
• Find the sign-in options available for your email address, including Microsoft sign-in where your company has enabled it.
• Clearer customer survey controls when completing a job, including when no customer email address is available.
